This policy explains how I (Jane Burton) am responsible for the secure use of your personal data.
I have a legitimate interest in processing personal data in order to provide counselling services and training. I will keep your data secure at all times and commit to ensure your privacy is protected. The purpose of this statement is to let you know what personal information I collect and hold, why I collect this data, how long it is kept and your rights over your personal data.

1. Information about you
1.1 I collect personal information from you when you enquire about counselling services in order to set up an appointment. This information includes your name, date of birth, contact details, your GP details, the reasons you wish to have counselling and subsequent appointment notes.
Once a client finishes counselling, all data regarding their counselling is stored securely for 7 years and then destroyed. For children, this is 7 years from the date they become an adult.
1.2 When you enquire about training events, I ask for contact details and relevant personal information from you that is needed to answer your enquiries and to keep you informed about upcoming events that may be of interest to you. This data is stored securely and destroyed 3 months after an event has taken place.
2. Use of this information
2.1 Your personal information will be used only to provide you with my services and to give you information relating to my services. I will not share your personal details with any other person or organisation without your knowledge and permission, unless there is a legal requirement, if there is a child or adult safeguarding issue, or a perceived risk of harm.
3. Security
3.1 Appointments information is stored manually.
3.2 I will take all reasonable precautions to prevent the loss, misuse or alteration of information you give me.
3.3 Communications in connection with my service may be made by telephone or email or via social media messaging or other websites, eg counselling directory. E-mail and messaging services are not fully secure means of communication. Whilst I endeavour to keep my systems and communications protected against viruses and other harmful effects, I cannot bear responsibility for all communications being virus-free. 4. Your rights over your personal data
4.1 If you would like to see the information we hold about you, or would like to correct, update or delete any records, please email us at janeburtoncounselling@live.com. I will do our utmost to resolve any concerns you have, but if these are not resolved to your satisfaction, you may contact the ICO.
